By registering for or using AutopilotHOA ("Service"), you agree to be bound by these Terms of Service ("Terms"). If you are accepting on behalf of a homeowners association or other organization, you represent that you have the authority to bind that organization to these Terms.
AutopilotHOA provides a multi-tenant SaaS platform for HOA management, including tools for dues collection, resident management, document storage, announcements, polls, events, maintenance requests, and violation tracking. Features available to you depend on your subscription plan.
You are responsible for maintaining the confidentiality of your credentials. You must notify us immediately of any unauthorized use of your account. We reserve the right to suspend accounts involved in suspicious activity.
Each community created on the platform is a separate tenant. HOA administrators are responsible for all activity that occurs under their community account.
You agree not to:
Free plan: AutopilotHOA offers a permanent free tier for communities with up to 25 residents. No credit card is required to use the free plan.
Billing: Paid subscriptions are billed monthly in advance via Stripe. All prices are in US dollars. Fees are non-refundable except as required by law or as described in Section 6.
Plan limits: All plans include identical features. The only difference between plans is the maximum number of residents allowed (Free: 25, Starter: 75, Pro: 200, Enterprise: unlimited). We will not automatically charge you for a higher plan without your consent.
Failed payments: If a payment fails, we will notify you by email and retry for up to 7 days. After 7 days of non-payment, access may be restricted to read-only mode until payment is resolved.
You may cancel your subscription at any time through the billing portal or by contacting support. Cancellation takes effect at the end of the current billing period; you will retain access until then.
We offer a pro-rata refund within 7 days of a new subscription if you are unsatisfied with the Service. Contact legal@autopilothoa.com to request a refund.
You retain ownership of all data and content you upload to the Service. By using the Service, you grant us a limited license to store, process, and transmit your data solely to provide the Service.
You are responsible for ensuring that data you upload (member lists, documents, etc.) complies with applicable privacy laws and that you have the right to share it with us.
We target 99.5% uptime, excluding scheduled maintenance windows. We will provide at least 24 hours notice before planned maintenance that affects availability. We are not liable for downtime caused by third-party services (Stripe, Vercel, Neon, etc.) or force majeure events.
THE SERVICE IS PROVIDED "AS IS" WITHOUT WARRANTIES OF ANY KIND. WE DO NOT WARRANT THAT THE SERVICE WILL BE ERROR-FREE OR UNINTERRUPTED.
TO THE MAXIMUM EXTENT PERMITTED BY LAW, OUR TOTAL LIABILITY TO YOU FOR ANY CLAIM ARISING FROM THESE TERMS OR YOUR USE OF THE SERVICE SHALL NOT EXCEED THE AMOUNTS YOU PAID US IN THE 12 MONTHS PRECEDING THE CLAIM.
We may update these Terms from time to time. Material changes will be communicated by email at least 14 days before taking effect. Your continued use of the Service after the effective date constitutes acceptance of the updated Terms.
